Introduction

These release notes cover changes in Community Enterprise (CE) Version 5.3.

Release Items

1. Integration – CE Outlook Connector
The CE Outlook Connector automates integration between Outlook and CE. This Outlook add-in allows you to send emails from Outlook 2003 directly into CE as activities in the Activity module. These activities are also appended to the relevant contact records. This feature will help clients to track a full history of communications with their constituents. 2. Integration – CE QuickBooks Connector
The CE QuickBooks Connector automates integration between QuickBooks and CE. This feature allows you to automatically import cleared transactions from CE into QuickBooks. This feature enables clients to quickly reflect online transactions in QuickBooks and thus keep financial information accurate and well organized.

3. Integration – FuseTalk Discussion Forums
CE 5.3 includes an integration to the powerful FuseTalk web-based discussion platform. With this integration, CE smoothly works with FuseTalk to enable state-of-the-art discussion boards as well as other related features. This feature supplements CitySoft’s built in discussion forum. The FuseTalk integration includes front end integration to maintain a consistent visual interface between the two applications. In addition, user authentication records are integrated between the two applications as well as search data.

4. New Channel – Grid Calendar
CE 5.3 introduces a new Calendar channel to base code that had previously been used with some client implementations as a customization. The Grid Calendar channel displays events in a traditional grid format. The channel also allows searching and display of events.

5. New Channel – Member Events Only Calendar
CE 5.3 includes a new calendar channel that displays only non-public (e.g. Member only) events. This is ideal for organizations whose focus is on member or closed-community activities.

6. New Channel – Event Submission
CE 5.3 introduces another channel which had previously been done for clients as a customization. The Events Submission channel enables users on the front end of the system to submit events to the calendar. This feature enables clients to engage their members and constituents in adding content and information to the site and to the overall community of users. Administrative settings allow you to decide whether events submitted through the front end web site go directly into the calendar listing or are added to an approval queue for administrative review.


7. New Channel – Document Directory
CE 5.3 introduces another channel into base code which had previously been provided to some clients as a customization. This channel (pictured at right) enables clients to display documents to users in a directory structure based on the topics and sub-topics.  This channel allows users to browse through the directory to find documents. 

8. New Channel – Document – List Specific Topic
CE 5.3 introduces an additional document display channel called "Document – List Specific Topic." This channel (shown in graphic at right) enables clients to display all documents in a particular topic or sub-topic.

This channel is ideal for clients who want to present a list of documents covering a certain subject matter from the document library. These documents can be public or private and include the variety of features available in the document library such as ratings, filtering against keywords and types, abstracts, and more. 


 

9. RSS (Real Simple Syndication)
CE 5.3 includes new RSS features. Thia RSS feature set enables several Articles channels to be syndicated as RSS feeds using the most recent RSS specification (RSS 2.0). As shown in the graphic at right, these features enable CE clients to syndicate web content to their community of users. Members, constituents, and other users can access new site information automatically using RSS readers without having to visit the web site. Additional RSS capabilities will be added to subsequent releases. 

 

10. Manage Your Profile Form – Enhancement
In CE Version 5.3 clients have control over which fields display in the Manage Your Profile feature. In previous versions, there were some fixed fields in the Manage Your Profile screen. The graphic at right shows the control for this feature where various fields can be included or exclude from the form. This screen can be accessed on the left navigation of the Contacts module from the link titled “Profile Field List.”

11. Membership Registration Form – Enhancement
In CE Version 5.3 R1, clients have full control over which fields display in the Membership Registration form. In previous versions, there were some fixed fields in the Membership Registration screens.

12. Special Interest Group / Affinity Group Functionality
CE Version 5.3 introduces Special Interest Group (also called Affinity Group) functionality. Using these features, public users or members can sign up for Special Interest Groups on the web site. This functionality is useful for clients who want members or other constituents to be able to join groups or committees within the organization or community.  Once users join an Affinity Group, they can access member-only content, be tracked and communicated with by group leaders and more fully participate in the community.

In addition, moderators of the special interest group can be given partial access to the administrative section of the system to publish targeted content for their groups on the main web site or in sub-sites. This allows the organization to engage staff and volunteers in managing groups of constituents through CE without sacrificing security. 
 

13. Ecommerce – Admin can remove “pay by check” option from checkout
Version 5.3 R1 includes an option which allows an administrator to turn off the checkbox option that says “Click here if you’d like to pay by check or money order.” When this option is deselected, this feature will not appear in the events ecommerce check out screen of CE.

14. Membership – Option to require password change during initial member login
In CE 5.3 R1, administrators have an option to require members or other users with a login privilege to change their passwords during their initial login to the system. This feature makes it easier for clients to get their users to use the site by supplying them with an easy to remember password which will subsequently be changed to a more private and secure password.

15. Documents Module – Ability to modify availability link text in the document display channel
This small but important enhancement to the display screen of several Document channels in CE enables an administrator to control the text of the file display link (highlighted below in red) for files associated with a document listing. This helps clients who list multiple files related to a particular document because they can more clearly show the variety of resources that are available to their members and constituents.

16. Contacts Module – Login Status
With the 5.3 release, there is a new Login Status setting field in the Login tab of the contact profile (shown at right). When this field is set to inactive, it disallows the contact from logging into CE in any capacity – as a member, administrator, event attendee, and so forth. With this feature an administrator can easily enable or disable system login privileges without modifying the user record in any other way.

17. Contacts module – Login status added to quick search options on landing page
With the 5.3 release, there is a new Login Status search option on the quick search dashboard of the landing page of the Individuals Contact module (shown in graphic at right). With this feature, an administrator can filter contacts based on whether the Login Status field is set to Active or Inactive in the Login tab of an individual profile record. For instance, while this option is enabled and set to "Active," the contacts displayed in the Individuals module will only include those that have an active login status. All inactive contacts will not be displayed. This feature can be switched on or off so that it will only appear when it is a relevant option.


18. Contacts module – Membership search added to quick search options on landing page
In 5.3 a new membership search option is added to the quick search dashboard options on the landing page of the Individuals Contact module. This option provides a new and easy way to quickly view different categories of contacts such as All Contacts, All Members, Active Members, and Inactive Members. (Note – these categories of contacts can also be seen in the Membership and Reports modules). This new option filters against the Active / Inactive status field in the Membership tab of an individual profile record. This option can be switched on our off so that it will only appear on the dashboard of clients for whom it is a relevant option.

19. Organizations module – Membership search added to quick search options on landing page
As with the Individuals module, in 5.3 a new membership search option is added to the quick search dashboard options on the landing page of the Organizations contact module. This option provides a new and easy way to quickly view different categories of organizations such as All Contacts, All Members, Active Members, and Inactive Members. (Note – these categories of contacts can also be seen in the Membership and Reports modules). This new option filters against the Active / Inactive status field in the Membership tab of an organization profile record. This option can be switched on our off so that it will only appear on the dashboard of clients for whom it is a relevant option.

20. Reports module – Login tracking
CE 5.3 R1 provides new reporting functionality that enables administrators to track the logins and page views of members or other logged in users. This functionality provides feedback to clients about which members, users, and administrators are logging into the system and what pages they are viewing within the site. Clients can use this information to determine what content if valuable to members and how they can best enhance the value of their system through the development of new content and the placement of existing content. This information is provided in several screens in the CE administrative area including:
• User Logins screen (shown above)
• View Visitors screen (shown at right)
• View Detailed Pages screen

  

21. Activities Module – Layout enhancements
CE 5.3 includes enhancements in the Activities module that improve usability. The primary activity screen now has, by default, the ability to associate contacts to that activity as well as set a due date. In earlier versions, the contacts and due date features were in separate tabs from the primary activity fields.

22. Various fixes and enhancements
In addition, the 5.3 R1 release includes a number of small fixes to issues in different modules including Membership, Applications, Events, Activities, Manage Your Profile, and the Reports module.

Coming Soon
The following features are in progress and will be added to subsequent releases of Community Enterprise.

1. Reports Module – Print mailing labels enhancement
A major enhancement of the mailing labels printing capability is planned for the next release of Community Enterprise. In this enhancement, a client will be able to create a report (e.g. List of recent donors) and automatically generate a printable mailing labels file from the Reports module.

2. Internationalization – Date and currency fields
CitySoft acheck boxnd our partners are making significant investments in the internationalization of Community Enterprise. Among these efforts, date and currency fields will be internationalized in the subsequent release of CE.

3. Internationalization – Virtual card services integration
CitySoft and our partners are integrating with an international payment gateway called Virtual Card Services into Community Enterprise. This gateway will enable smooth transaction processing in South Africa and elsewhere.

4. PayPal integration
CitySoft is adding an integration to the popular PayPal Standard payment service in Community Enterprise. This integration will complement CE’s existing integration with Verisign’s Payflow Pro service and provide clients with a new, lower cost option for processing payments online.

5. Events Module – Public view of member-only events
The next release of Community Enterprise will include a calendar feature that enables public users to view all events, including member-only events, while limiting registrations to members.

6. Membership Module – Customized email confirmations & invoices
The next release of CE will include the ability to customize email responses to members who join or renew online, including generating email invoices.
